ReputeAI ("ReputeAI," "we," "us") is operated by Sunkara Solutions LLC. This policy explains what information we collect through usereputeai.com and the ReputeAI service (the "Service"), how we use it, who we share it with, and the choices you have — including if you're a business using ReputeAI to manage its online reputation, or a customer whose public review, call, or text message a business processes through ReputeAI.
From a business that creates a ReputeAI account:
Name, email, and password (stored as a one-way hash, never in plain text) or your Google account identity if you sign in with Google; your business's name, address, phone, website, hours, and industry; any menu, business photos, or marketing assets you upload; and your usage of the Service (which features you enable, workflow settings, and similar account activity).
About your business's customers, from public sources:
When you connect a review data source, we retrieve your business's public reviews (review text, star rating, the reviewer's public display name, and any photos the reviewer attached) from the review platform itself or a review-data provider acting on our behalf. This is the same review content already publicly visible on that platform — we do not access a reviewer's private account or any information they haven't already made public.
About your business's customers, from calls and texts:
If you use ReputeAI's AI phone assistant, we process the caller's phone number (from caller ID) and call audio/transcript to take and confirm bookings. We only send a confirmation text after the caller gives real, recorded verbal consent on the call itself — see our SMS Terms & Consent page for exactly how that works.
If you choose to connect your Google Business Profile to publish review replies, you'll be asked to grant ReputeAI access to Google's business.manage scope through Google's own sign-in screen. We use that access for exactly two things: (1) reading your business's own reviews from Google so we can match them to the reviews already in your ReputeAI account, and (2) publishing a reply you've approved to a specific review on your Google Business Profile, when you click Publish (or when a review-response workflow you've configured to run automatically does so on your behalf). We never use this access to read, modify, or post anything outside your own connected business, and we never request more Google data than this one feature needs. The access and refresh tokens Google issues us are encrypted before they're stored, and are never shared with any third party. You can revoke this access at any time — from ReputeAI's own Integrations settings (Disconnect), or directly from your Google Account's "Third-party apps & services" permissions page.
ReputeAI's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.
To provide the Service you've signed up for: analyzing review sentiment and themes, drafting and (only with your action or your own workflow settings) publishing review responses, generating a business-health score and growth recommendations, creating marketing content from your own reviews and photos, and operating the AI phone/booking assistant you've configured. We also use account and usage information to secure your account, respond to support requests, and improve the Service. We do not sell personal information, and we do not use the content of your business's reviews, calls, or texts to serve ads.
We share information with the service providers that help us run ReputeAI, each only for the purpose of providing their part of the Service, and never for their own independent use:
We may also disclose information if required by law, or to protect the rights, safety, or property of ReputeAI, our customers, or others. If ReputeAI is ever involved in a merger, acquisition, or sale of assets, information may transfer as part of that transaction, subject to this policy.
All the above categories exclude text messaging originator opt-in data and consent; this information won't be shared with any third parties. (Twilio, listed above, carries the confirmation text itself as our SMS vendor — this is about the record of your consent and phone number specifically, which we don't sell, license, or disclose to any other party.)
We keep account and business data for as long as your account is active, and generally for a reasonable period after in case you return — you can request deletion at any time by contacting us below. You can disconnect Google Business Profile publishing, remove a review data source, or delete uploaded content directly from your ReputeAI settings at any time. A customer whose public review or call we've processed on a business's behalf can contact us, or the business directly, with questions about that information.
Passwords are stored as one-way hashes, never in plain text. Sensitive third-party access tokens (such as Google's) are encrypted before storage. We restrict access to business data to the members of that business's own account, and access across accounts is not possible through the Service.
The Service is intended for business use and is not directed at children. We do not knowingly collect personal information from children under 13.
If we make a material change to this policy, we'll update the date at the top of this page and, for significant changes, notify account owners directly.
